Bookkeeping
Books you can understand and work from.
Vaulted OS offers AI-assisted bookkeeping with human review for US business owners. The service connects financial records, transaction review, and reporting with the business context that only you can provide.

The work
Define what belongs in your books.
Discuss transaction coding, account reconciliation, and financial reporting as part of the bookkeeping scope. Identify the bank and card accounts, entities, and periods the team will handle, including any historical work.
If the books are behind, separate the catch-up project from ongoing maintenance. Missing statements, unresolved balances, and incomplete records need to be understood before a delivery date or quote can be agreed.
A supplier payment.
Two businesses.
One important question.
Your part
Help the reviewer understand the transaction.
Keep source statements and receipts available, explain the business purpose of unclear payments, and respond to questions about missing information. Tell the team when you open an account or change how the business operates.
Illustrative example: a bank statement shows a supplier payment, but the receipt includes items for two businesses. The bookkeeper needs the supporting detail and the correct business allocation before the records can be reviewed. An AI suggestion does not establish that business purpose.
Service boundaries
Agree the details before work begins.
Confirm the accounting basis, reports, close schedule, and responsibilities in your engagement. Discuss payroll, bill payments, sales tax, tax-return preparation, and historical corrections individually rather than assuming they are included in bookkeeping.
If you already use QuickBooks, explain the setup during the walkthrough. The team can discuss accountant access or moving historical records; this is not a promise of an automatic software sync.
Before you get started
Can I discuss catch-up bookkeeping?
Yes. Explain the last completed period and the records available. The team needs to assess the backlog before confirming scope, price, or timing.
Does bookkeeping include filing my tax return?
Confirm tax preparation separately, including who prepares and files the return. Bookkeeping records can support that work, but the responsibilities need to be agreed.
Your next step
Let’s talk about your business.
Bring your questions. We’ll discuss the work you need.
